Privacy Policy

1. Who we are

Race Program Manager ("we", "us", "our") provides a subscription web application for tracking race-car maintenance and program data, at raceprogrammanager.com and app.raceprogrammanager.com. This policy describes how we handle personal information, consistent with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

2. Information we collect

• Account information: your name, email address and password. Passwords are managed and encrypted by our authentication provider (Google Firebase); we never see or store your actual password.
• Your program content: the information you enter into the app, such as vehicles, components, service records, setups, spares, driver details and any photos you upload.
• Billing information: when you subscribe, payment is processed by Stripe. Stripe collects and handles your card details directly; we receive your subscription status and limited billing details (such as plan and renewal date), not your full card number.
• Technical and usage data: when you use the Service our hosting and security provider (Cloudflare) may automatically record technical information such as your IP address, browser and device type, and basic request logs, for security and reliability.
• Local storage on your device: the app stores essential data in your browser (such as your login session and a copy of your program data) so it can run and stay signed in.
• Location (only when you choose to use it): if you tap "Use GPS location" or "Auto-fill weather" on a setup sheet, your device's location is used once to find the nearest track and look up current weather and elevation. We don't track or store your location beyond the values you choose to save on the sheet.

3. How and why we use it

We use personal information to: create and run your account; provide, sync and back-end the Service; process subscriptions and payments; provide support and respond to you; keep the Service secure and prevent misuse; and send you essential service messages (such as billing notices, security alerts and important changes). We only use your information for the purposes set out in this policy.

4. Cookies and tracking

We use only essential cookies and local storage needed for the Service to work (for example, to keep you signed in). We do not use advertising cookies, and we do not run third-party analytics or tracking. We do not track your activity across other websites.

5. Who we share it with

We do not sell your personal information. We share it only with the service providers we use to run the Service, and only as needed:

We may also disclose information if required by law, to enforce our Terms, or to protect the rights, safety or property of anyone.

6. Where your information is stored

Our primary database is hosted in Australia (Sydney) on Google Firebase. However, some of our providers operate globally and may store or process information overseas, including in the United States: Stripe (payments), Cloudinary (photos) and Cloudflare (hosting and security). By using the Service you consent to your information being handled by these providers in those locations. We take reasonable steps to use reputable providers that protect your information.

7. Security

We take reasonable steps to protect your information. Data is transmitted over encrypted (HTTPS) connections, and our providers encrypt stored data at rest. However, no online service can be completely secure, and we cannot guarantee absolute security. As noted in our Terms, you are responsible for keeping your own backups of your data, which you can export from the app at any time.

8. How long we keep it

We keep your information for as long as your account is active. If you cancel or delete your account, or if it stays unpaid for a reasonable period, we may permanently delete your data from our active systems. For safety and reliability we keep encrypted backups of our database, and deleted data may remain in those backups for a short period (currently up to 14 days) before it is overwritten. We do not offer restoring deleted data as a service, so please export anything you want to keep first. Some limited records may be retained where required by law (for example, for tax or accounting).

9. Accessing and correcting your information

You can view and update most of your information directly in the app, and you can delete your account and data from the app's settings at any time. If you would like to access, correct or ask questions about your personal information, contact us at support@raceprogrammanager.com.

10. Marketing

We send essential service emails (such as billing and account notices) as part of providing the Service. We will only send you promotional messages if you have agreed to receive them, and you can opt out at any time.

11. Children

The Service is intended for people aged 18 and over and is not directed at children. We do not knowingly collect personal information from children.

12. Complaints

If you have a privacy concern, please contact us first at support@raceprogrammanager.com and we'll work to resolve it. If you're not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

13. Changes to this policy

We may update this policy from time to time. If we make material changes we'll take reasonable steps to let you know. The "last updated" date above shows when it was last changed.
